Convert multiple Excel files to PDF in one batch

Drop every workbook into one batch, choose PDF and portrait or landscape once, and download a ZIP with one PDF per workbook. Every sheet is included and scaled to the page width. Try one file below, then batches of 50 to 500 files run on a paid plan.

Short answer

To convert multiple Excel files to PDF at once without Acrobat or a VBA macro, upload all the workbooks to one XlsConverter batch, pick PDF and the page orientation, and download a ZIP. Each workbook becomes its own PDF with all of its sheets, fit to one page width. Pro handles 50 files per batch and Business 500.

Month end, quarter end and audit season all produce the same chore: a folder of 40 client workbooks, branch reports or schedules that have to go out as PDF. Excel exports one workbook at a time, Acrobat batch actions only take the first sheet unless you change a preference, and a macro needs Excel installed on the machine that runs it. Most offices end up with one person opening files and clicking Export for an afternoon.

A batch run treats every file the same way. You choose PDF and the orientation once, each workbook is laid out with fit to width so wide sheets do not break into column strips, and the set comes back as one ZIP named after the source files. For a single workbook with more page options, use XLSX to PDF, and for archived Excel 97 to 2003 reports there is XLS to PDF.

How to convert Excel to PDF in bulk in three steps

  1. 1Open the batch converter in your account and drop up to 50 workbooks on Pro or up to 500 on Business. XLSX, XLS, XLSM, XLSB, ODS and CSV files can be mixed in one run.
  2. 2Choose PDF, then landscape for wide reports or portrait for narrow lists. The setting applies to every file in the batch.
  3. 3Convert and download one ZIP with a PDF for each workbook. Every sheet of a workbook lands in that workbook's PDF, each starting on a new page.

Why converting a folder of Excel files to PDF goes wrong by hand

The first problem is the missing tab. Excel's Save As PDF exports the active sheet unless you change the option to the entire workbook, and Acrobat's batch conversion has the same trap: with several files selected it converts only the first sheet of each one unless the Convert entire Excel workbook preference is switched on. Nobody notices until a client asks where page 2 of the schedule went. A batch run here always includes every sheet.

The second problem is width. Workbooks are rarely set up for printing, so Excel falls back to 100 percent scale on portrait paper and an 18 column report splits into vertical strips. Fixing page setup in 40 files is the slow part of the job. The batch applies fit to width to every sheet, so all columns sit on one page width and long tables continue on the following pages.

The third problem is the machine. VBA macros and PowerShell scripts that loop through a folder need Excel installed and a person who can debug them when a file is locked or password protected. A browser batch works from a Mac, a Chromebook or a locked down laptop. When the same reports arrive every month, scheduled pipelines pick them up from an inbox, S3, Google Drive or Dropbox and deliver the PDFs without anyone opening a file.

Who converts dozens of Excel files to PDF at once

Accounting and bookkeeping firms send each client a monthly or quarterly packet: a P&L, a balance sheet and supporting schedules built in Excel. Clients should get a PDF they cannot edit, so at every close someone converts the whole client folder. Property managers do the same with owner statements, and multi-location retailers with branch sales reports.

Operations and compliance teams have a different version of the job. Audit requests, vendor scorecards and inspection logs live in spreadsheets, but the auditor or customer wants a fixed PDF record. Archiving a shared drive of old XLS reports as PDF before a system migration is another common case, and legacy files can be mixed with current XLSX files in the same batch.

What you get back from a batch Excel to PDF run

The download is one ZIP. Inside, each workbook has become a PDF with the same base name, so Client-0412-March.xlsx comes back as Client-0412-March.pdf, ready to attach or upload to a portal. Formulas are shown as their calculated values, and number formats such as currency and dates appear as they display in Excel.

If you need one combined document instead of one PDF per workbook, combine the PDFs from the ZIP in any PDF tool, or put the tabs into one workbook first and convert it with Excel to PDF, which keeps every sheet in a single file. To turn the same data into a format another system can import, run the batch again with CSV as described on the batch Excel to CSV page.

Excel to PDF in bulk questions

How do I convert multiple Excel files to PDF at once?

Upload all the workbooks to one batch in XlsConverter, choose PDF and the page orientation, and convert. You download one ZIP with a PDF for each workbook, every sheet included and scaled to the page width. Pro converts up to 50 files per batch and Business up to 500, with no Excel installed.

How do I convert multiple Excel files to a single PDF?

A batch gives one PDF per workbook. For one document, put the sheets into one workbook and convert it with Excel to PDF, which keeps every tab in a single file, or combine the PDFs from the batch ZIP in a PDF tool. The page order then follows the order you choose.

Why does Acrobat only convert the first sheet of each Excel file?

Acrobat's batch conversion uses its Convert to PDF preference for Excel, and with the entire workbook option switched off it converts only the first sheet of each selected file. Turn on Convert entire Excel workbook in Preferences, or use a batch converter that always includes every sheet.

Can I batch convert Excel to PDF without Excel or Acrobat installed?

Yes. The batch converter reads XLSX, XLS, XLSM, XLSB and ODS files directly in the browser, so no copy of Excel, Acrobat, VBA macro or PowerShell script is needed. That also makes it work from a Mac, a Chromebook or a managed work laptop.

How do I stop wide Excel sheets from splitting across PDF pages?

Use landscape orientation with fit to width. Every sheet in the batch is scaled to one page width, so all columns stay on the same page and long tables continue on the next pages instead of breaking into vertical strips.

How much does it cost to bulk convert Excel to PDF?

Pro is 49 USD per month, or 24 USD per month billed yearly, with batches of 50 files and 2,000 conversions per billing period. Business is 149 USD per month with batches of 500 files and scheduled pipelines. A one-time demo of up to 100 rows lets you test one file first.
