XlsConverter

Automatically convert Excel to PDF and email the reports on a schedule

Set up one pipeline and every new Excel report is exported to PDF without anyone opening it. Workbooks are picked up from an email inbox, S3, Google Drive, Dropbox or a URL, converted with all sheets fit to page width, and delivered by email, SFTP, S3 or webhook. Test your layout below first.

Short answer

To automatically convert Excel to PDF without a VBA macro, Task Scheduler or Power Automate, create an XlsConverter pipeline: choose where the workbooks land, pick PDF with landscape or portrait once, and choose where the PDF goes, including an email address. It runs on every new file or hourly, daily, weekly or by cron. Pipelines are part of the Business plan at 149 USD per month, or 74 USD per month billed yearly.

Plenty of reports are built in Excel and read as PDF. The weekly sales flash for regional managers, the daily cash position for the CFO, the monthly owner statement for each property, the KPI pack that goes to the board. The numbers refresh on their own from an ERP export or a data connection. The last step does not: someone opens the workbook, checks that every tab is there, exports it to PDF, renames it and emails it. Miss a Monday and the managers notice.

A pipeline does that last step. It watches the inbox, bucket or folder where the finished workbook lands, exports it to PDF with the same orientation and scaling every time, and sends the file to the people or the system that need it, with a run log behind every delivery. Use the converter on this page to check how one of your workbooks lays out first. For a one-off folder of files, convert multiple Excel files to PDF in a batch, and a single workbook is quickest on Excel to PDF.

How to convert Excel to PDF automatically in three steps

  1. 1Choose the source: a dedicated email address for the pipeline, an S3 prefix, a Google Drive or Dropbox folder, or an HTTPS URL that is fetched on a schedule, for example a report export link from your ERP.
  2. 2Add a convert step with PDF as the target and pick landscape or portrait. Every sheet of the workbook is included, each scaled to one page width, so wide reports do not split into column strips.
  3. 3Choose the destination and the trigger. Send the PDF to one or more email addresses, an SFTP folder, S3, Drive, Dropbox or a signed webhook, on every new file or on an hourly, daily, weekly or cron schedule.

Why homemade Excel to PDF automation breaks

The classic setup is a VBA macro that calls ExportAsFixedFormat, started by Windows Task Scheduler at 6 a.m. It runs on one PC under one login. If that PC restarts for updates, if Excel opens a recovery pane or a links warning, or if the workbook is still open on someone else's screen, the macro stops and waits for a click that never comes. Microsoft advises against running Office unattended for exactly this reason. Many teams learn about the failure when a manager asks where the report is.

Power Automate is the usual second try. Its OneDrive for Business connector has a Convert file action, still marked preview, that can turn a workbook stored in OneDrive or SharePoint into PDF. It only works on files already in Microsoft 365, it has no orientation or scaling settings of its own, so the layout depends on the page setup saved in each workbook, and Microsoft suggests adding a delay when a conversion fails with a resource not found error. Files that arrive from outside, such as supplier attachments or legacy XLS reports, need extra steps or a premium connector.

A script with a PDF library or a headless office suite works when a developer owns it. Somebody then hosts it, schedules it, watches it, handles password protected files and fixes it when a report gains a new tab that prints across 14 pages. A pipeline covers those cases with settings instead of code, and the same conversion is available from your own application through the REST API.

Email Excel reports as PDF automatically every week

The most common pipeline ends in someone's inbox. Point the source at the place where the refreshed workbook is saved, choose PDF, and add the recipients as the destination. A weekly sales report can go to eight regional managers at 7:00 every Monday, a daily cash report to the CFO before the morning meeting, and the month-end pack to the controller as soon as the final workbook lands in the close folder.

Recipients get a PDF they can read on a phone and cannot edit by accident, which is why finance teams send PDF rather than the workbook itself. Formulas arrive as their calculated values and currency and date formats look the way they do in Excel. When the same workbook also feeds another system, a second pipeline can send a CSV copy, as on the automatic Excel to CSV page.

Auto convert incoming Excel files to PDF for records

The other direction is files that arrive from outside. Vendors send statements, carriers send freight reports, inspectors send checklists, all as spreadsheets. Audit and records policies often require a fixed PDF copy of each one. Give the pipeline its own email address, forward those messages to it, and every XLSX, XLS, XLSM, XLSB or ODS attachment is converted to PDF and filed to S3, an SFTP archive or a Google Drive folder.

Because the conversion runs on the server, the original layout is preserved even for old Excel 97 to 2003 files that nobody has software for anymore. For a backlog of historical files, run them once as a batch with XLS to PDF and let the pipeline handle the new ones from that day on.

If your reports already live in SharePoint and the Power Automate flow works, keep it. A pipeline fits when files come from several places, when legacy XLS is involved, or when the job has to keep running without a Microsoft 365 admin.

Excel to PDF automatically questions

How do I automatically convert Excel to PDF?

Create a pipeline in XlsConverter with a source such as an email inbox, S3, Google Drive or Dropbox, add a convert step with PDF as the target and pick the orientation, then choose a destination such as an email address or SFTP folder. Every new workbook is exported to PDF on arrival or on a schedule, with no Excel or macro involved.

Can Power Automate convert Excel to PDF?

Yes, for files stored in OneDrive or SharePoint. The OneDrive for Business connector has a Convert file action, marked preview, that outputs PDF. It has no orientation or fit to width settings, so layout follows each workbook's saved page setup, and files from outside Microsoft 365 must be copied in first or handled by a premium connector.

How do I automatically email an Excel report as a PDF?

Save the refreshed workbook to a folder, bucket or the pipeline inbox, set the pipeline target to PDF and add the recipients as the destination with a schedule, for example weekdays at 7:00. Each run exports every sheet to one PDF and emails it, and a failed run sends an alert instead of silently skipping.

Can I convert Excel to PDF automatically without opening Excel?

Yes. The pipeline reads XLSX, XLS, XLSM, XLSB and ODS files on the server, so Excel is never installed or opened. That removes the usual causes of failed overnight exports: a PC that rebooted for updates, a dialog waiting for a click, or a workbook locked by another user.

Will every sheet of the workbook be included in the PDF?

Yes. The whole workbook goes into one PDF, with each sheet starting on a new page and scaled to one page width. Excel's own Save as PDF exports only the active sheet unless you switch the option to the entire workbook, which is a common reason for reports missing pages.

How much does automatic Excel to PDF conversion cost?

Pipelines are part of the Business plan at 149 USD per month, or 74 USD per month billed yearly, with up to 20 pipelines, 10,000 conversions per billing period, files up to 500 MB and 5 seats. You can test the layout on one file with a one-time demo of up to 100 rows before paying.

Can I convert Excel to PDF automatically from my own application?

Yes. The REST API accepts a workbook with PDF as the target and returns the file directly or as an async job with a signed webhook when it finishes. It is part of the API plan, with 50,000 conversions per billing period and files up to 1 GB.
