Apple Numbers files cannot be opened in Excel at all, and the usual advice is to export from Numbers on a Mac. That does not help when a colleague, client or contractor has sent you a .numbers file and you work on Windows.

Why one Numbers sheet can hold several tables

Numbers uses an open canvas: one sheet can contain several independent tables, charts and text boxes placed anywhere. Excel has one grid per sheet. We give each Numbers table its own Excel sheet named after the table by default, which keeps formulas simple. If you prefer to keep the original grouping, tables from one sheet are stacked with an empty row between them.

Formulas that refer to other tables use Numbers syntax such as Table 2::B3. These are rewritten as Excel references to the corresponding sheet, so the totals still calculate. A few Numbers only functions have no Excel equivalent and are replaced by their values, listed in the report.

Checkboxes, star ratings and pop up menus in Numbers are written as TRUE and FALSE, numbers, and plain text values. Images and shapes on the canvas are not part of the cell data and are not carried over. For a format that suits both Excel and open source tools, convert the result with XLSX to ODS, or keep it as data with XLSX to JSON.

Options for Numbers to Excel

Table layout: Put every Numbers table on its own Excel sheet, or stack the tables of one sheet with a gap between them.
Keep formulas: Translate formulas to Excel syntax, or write their calculated values instead.
Header rows: Keep Numbers header rows and columns as frozen panes in Excel.
Date format: Keep the date and currency formats from Numbers or use your own.
