ProperSoft Alternative for Excel to QuickBooks Imports

ProperSoft CSV2QBO is a desktop program that reads CSV, XLS and XLSX files and writes a QBO file for QuickBooks. XlsConverter is a ProperSoft alternative for teams that want a browser based tool producing a clean UTF-8 CSV in the Date, Description, Amount layout that QuickBooks Online accepts, with batches of up to 500 files and inbox pipelines on Business. It does not write QBO files. Pro costs 49 USD per month and Business 149 USD.

A ProperSoft alternative depends on what you need to hand QuickBooks. ProperSoft's converter produces a QBO (Web Connect) file from a spreadsheet. XlsConverter produces a clean CSV that you upload on the QuickBooks Online bank transactions screen. Both get an Excel statement into the books. They differ in where they run, which file they write and how much work repeats each month. Pro is 49 USD per month, or 24 USD per month billed yearly.

Bookkeepers who look for an alternative usually have one of three problems. The desktop install does not fit a team that shares work across machines. The client files arrive in a different shape every month. Or the volume has grown from one statement to dozens, and every file still needs hand fixing.

Where ProperSoft wins

According to ProperSoft's own converter page, its tool extracts transaction data from CSV, Excel, XLS and XLSX files, needs at least a date column and an amount column, and runs on your computer after you download and install it. It also offers a free try before you buy. If you must deliver a QBO file, for example because a client's QuickBooks setup expects Web Connect, or you want the output tied to a specific bank profile, XlsConverter cannot replace it. XlsConverter writes CSV, not QBO.

ProperSoft also publishes guidance for many bank formats. If your problem is an unusual bank export and not a messy workbook, a dedicated tool aimed at that is the right place to start. Check ProperSoft's pricing page for current license terms, because the converter page does not list amounts.

Where XlsConverter is enough

QuickBooks Online accepts CSV uploads in two layouts according to Intuit's help article: Date, Description and Amount, or Date, Description, Credit and Debit, with one date format throughout. When the workbook already holds the transactions, the job is to reshape and save it correctly. XlsConverter lets you choose the sheet, comma delimiter, UTF-8 encoding and date format, trim whitespace, drop empty columns and remove duplicates. The Excel to QuickBooks CSV converter lists the column rules and the checks to make before each upload.

The work scales through batches and pipelines. Pro converts 50 files per batch and Business 500. On Business, a saved schema template renames headers such as Posting Date or Memo to Date and Description, and a pipeline picks up each new workbook from an email inbox, S3, Google Drive, Dropbox or a URL. The CSV is delivered to SFTP, S3, a webhook or email. The batch Excel to CSV converter covers the folder workflow.

Pricing

XlsConverter Pro costs 49 USD per month, or 24 USD per month billed yearly, with 2,000 conversions, 100 MB files and batches of 50. Business costs 149 USD per month, or 74 USD per month billed yearly, with 10,000 conversions, 500 MB files, batches of 500, 20 pipelines, 5 seats and 1,000 AI runs. See the plans. ProperSoft's license terms are on its pricing page, so compare the annual total for your own client volume rather than a monthly figure.

Using both

They do not exclude each other. A shared team can normalize every client workbook to a stable layout with XlsConverter, and use a QBO converter only for the clients whose setup requires that file type. Once the books are clean, you can turn the cleaned bookkeeping export into P&L and balance sheet statements without rebuilding them by hand.

Who should not switch

Stay with ProperSoft if you need QBO output, you work on one machine and the files are stable. Stay with the plain QuickBooks CSV upload and Excel if you handle one small file a month. XlsConverter does not log in to QuickBooks, categorize transactions or verify totals, and you review the QuickBooks preview before accepting.

How to test it with one client file

  1. Pick last month's worst workbook. Choose the one with a header block, a totals row or mixed dates.
  2. Convert it with explicit settings. The demo converts the first 100 rows, enough to check headers, signs and dates.
  3. Upload one month in QuickBooks. Compare the preview with the statement.
  4. Time the full job. If preparation takes longer than the upload, batches and pipelines are where the saving is.

Questions about this guide

Is there a good ProperSoft alternative for Excel to QuickBooks?

It depends on the file you need. For a clean UTF-8 CSV in the Date, Description, Amount layout, produced in a browser, in batches or from an inbox, XlsConverter works. For a QBO Web Connect file, ProperSoft remains the better match, and the two can be used together.

Does XlsConverter create QBO files?

No. XlsConverter writes CSV and other spreadsheet and data formats, not QBO. You upload the converted CSV on the QuickBooks Online bank transactions screen. If a client requires a Web Connect file, use a QBO converter for that client.

What layout does a QuickBooks Online CSV need?

Intuit documents a three column layout of Date, Description and Amount, and a four column layout of Date, Description, Credit and Debit, with one date format in the file. Remove other columns and check the current help article for your edition before you upload.

Can XlsConverter process many client statements at once?

Yes. Pro converts batches of 50 files and Business batches of 500, with the same sheet, delimiter, encoding and date settings applied to each. On Business a pipeline can pick the workbooks up from an inbox or cloud folder and deliver the CSV files to SFTP, S3, a webhook or email.
