Excel to Xero CSV converter for invoice, bill and contact imports
Xero imports from CSV files, not from XLSX workbooks. Match your Excel columns to the headers in the current Xero import template, convert the sheet to UTF-8 CSV with consistent dates, then upload it in Xero and review the preview. XlsConverter prepares the file, and you control what is imported into the organisation.

Short answer
To import an Excel file into Xero, copy the data into the Xero template headers, save the sheet as UTF-8 CSV and upload it from the import screen for invoices, bills or contacts. Do not rename or delete template columns, keep invoice numbers and account codes as text, and use one date format. XlsConverter creates that CSV from XLSX or XLS in a browser or batch, with the sheet, delimiter and date format fixed.
A bookkeeper or accounts payable clerk gets a client invoice list, a supplier bill register or a customer database as an Excel workbook, and Xero will only take CSV. Each import has its own template, and a file with a renamed column or a day and month swap is rejected or, worse, accepted with the wrong dates. When this repeats for several clients every month, hand editing becomes a real cost.
Set up the columns to match the template first, then convert with comma and UTF-8 selected. The UTF-8 CSV conversion guide explains the encoding choices. For a stack of client workbooks, batch convert Excel to CSV with identical settings so every file loads the same way.
How to convert Excel to Xero CSV in three steps
- 1Open the current import template from Xero for the record type you load (sales invoices, bills or contacts) and paste your data under its headers. Keep every template column, remove title rows and totals, and store invoice numbers, account codes and phone numbers as text.
- 2Choose the sheet, then CSV, comma and UTF-8, and pick a single date format for every date column. Convert and open the download to confirm headers, dates and any special characters in contact names.
- 3In Xero, open the import screen for that record type, upload the CSV and check the preview before you confirm. Import a small test batch first, especially when contact names must match existing contacts.
Prepare Excel columns for a Xero import
Xero publishes a CSV template for each import, and the file you upload has to follow it. Reports from vendors and bookkeeping guides agree on the pattern for invoices. Contact name and invoice number are the fields that must be filled, and other fields such as due date, description, quantity, unit amount, account code and tax type can be completed or corrected inside Xero. Do not rename or delete columns, because the importer matches on the header row. Check the current template in Xero before every new client, since fields can change.
Contact names deserve attention. If a contact name in the CSV does not match an existing Xero contact exactly, Xero creates a new contact. A trailing space, a different spelling or an Excel autocorrect can therefore produce duplicates. Trim whitespace in the conversion and compare names with the contact list before the import.
Dates are the other common failure. Excel stores dates as serial numbers, and a mix of US and EU entries in one column cannot be repaired after the fact. Convert once with the date format you choose and read a few rows in the CSV. XlsConverter prepares the file only. It does not check tax types, account codes or totals against your chart of accounts, so review the Xero preview before you confirm.
Import invoices and bills from Excel into Xero
Invoice and bill registers are the most common Excel to Xero job. Each line has a contact, an invoice number, dates, a description, a quantity and an amount. Keep one row per line item, repeat the invoice number on every line of the same invoice, and convert the finished tab to CSV.
Check amounts for stray currency symbols and thousands separators before conversion, since a text amount will not import as a number. Formulas are written as their calculated value in the CSV. Keep the original workbook as your record.
Load customer and supplier contacts from a spreadsheet
A contact import carries names, email addresses, phone numbers and addresses. Phone numbers and postal codes lose leading zeros if Excel stores them as numbers, so format those columns as text first. Accented names need UTF-8, which is why the conversion should be set explicitly and not left to a default save.
If a column is skipped or rejected, compare its header with the template in Xero character by character. XlsConverter does not split files by row, so divide very large lists across tabs and export one CSV per tab.
Prepare Xero CSV files for every client each month
Use Pro when you convert several client workbooks together at month end. Use Business when the same clients send workbooks with changing headers and you want inbox or cloud pickup with saved header renaming. Business pipelines accept files from an email inbox, S3, Google Drive, Dropbox or a URL, on a schedule or on every new file, and deliver to SFTP, S3, a webhook or email. The automatic Excel to CSV workflow describes the pattern.
Pro costs 49 USD per month, or 24 USD per month billed yearly, with 2,000 conversions and 100 MB files. Business costs 149 USD per month, or 74 USD per month billed yearly, with 10,000 conversions, 20 pipelines, 5 seats and 1,000 AI runs. See Pro and Business plans for your client volume. Teams that also feed other systems can use the Excel to Salesforce CSV converter or the Excel to NetSuite CSV converter. The one-time demo covers the first 100 rows.
Compare ways to get an Excel file into Xero
| Method | Preparation | How records reach Xero | Ongoing work | Best for |
|---|---|---|---|---|
| Save As CSV in Excel by hand | Fill the template, fix dates, save the file | Upload on the Xero import screen | Repeat for every workbook and client | Occasional files with stable columns |
| Xero import with its template | Copy data into the template headers | Browser import with a preview | Repeat the mapping for each file | Small lists for one organisation |
| Import app or connector | Configure the connector and field mapping | Direct sync or bulk import into Xero | Maintain mappings and a subscription | Large volumes and direct syncing |
| XlsConverter | Match columns, choose sheet, delimiter and date format | You upload the prepared CSV in Xero | Review the file and the Xero preview | Recurring workbooks needing UTF-8 CSV and batch conversion |
Import apps and connectors win when you need data pushed into Xero without a manual upload, or when the source is an accounting system and not a spreadsheet. XlsConverter fits repeatable file preparation with batch conversion and saved header templates before the Xero upload.
Excel to Xero CSV questions
How do I import an Excel file into Xero?
Xero imports CSV, so copy your data under the headers of the current Xero template, save the sheet as UTF-8 CSV and upload it on the import screen for that record type. Review the preview before you confirm. Test with a small batch first.
Can Xero import an XLSX file directly?
The standard Xero import screens take CSV files, so convert the workbook first. Some third party apps read Excel and push data into Xero, which suits automated syncs. For a file based workflow, convert each workbook to UTF-8 CSV with the sheet and date format you choose, then upload it.
What columns does a Xero invoice CSV need?
Contact name and invoice number are the fields that must be filled. Other columns such as invoice date, due date, description, quantity, unit amount, account code and tax type are common and can be completed in Xero. Keep every template column and its exact header, and check the current template before each import.
Why did Xero create duplicate contacts after my CSV import?
When a contact name in the CSV does not match an existing Xero contact exactly, Xero creates a new one. Stray spaces, different spelling or abbreviations are the usual cause. Trim whitespace in the conversion and compare the names with your contact list before you import.
What date format should an Excel to Xero CSV use?
Use one format in every date column and make sure it matches your Xero organisation settings. The converter and batch screens offer ISO 8601, US and EU date output. Mixed formats in one column cannot be repaired afterwards, so check a few rows in the CSV before you upload.
Does XlsConverter upload records directly to Xero?
No, XlsConverter prepares CSV files that you upload yourself in Xero. Business pipelines deliver to SFTP, S3, a webhook or email and do not log in to Xero. Choose an import app if you need records pushed straight from the source without a manual upload.
